Appointment Policies

Patients at West Roxbury Smiles are seen by appointment only. When scheduling appointments, we try our best to accommodate our patients as much as possible. We recommend morning appointments for younger patients, as research and experience has shown that younger children have more positive experiences as they are generally well rested and more cooperative during this time. Some appointments may require your child to miss school time. Our office provides an excuse letter for your childs teacher upon request.

We value your time and we make every effort to be on time for our patients, and we ask the same courtesy from our patients. Though unforeseen events sometimes require missing an appointment, we ask that you contact us as soon as possible as a courtesy to other patients who may be waiting for an available appointment time. Please notify us immediately if your child cannot make it to his or her appointment by giving us at least a 24 hour notice to avoid fees for a missed appointment. No charge will be made for rescheduling your appointment if a 24 hour notice is given to us so that your child’s appointment can be given to another patient. For notification, please contact our office and speak with one of our reception staff during normal business hours.

Financial Policies

We accept all major dental insurances. Please call us at 617-327-4321 to determine if we can help you and your family with your specific dental health plan.

If you have dental insurance, you will be asked to provide insurance information such as your employer’s name, insurance carrier, group number, insured’s name and birth date, dependent’s names and birth date when you call to make your appointment. From the information that you provide, our staff will verify your insurance eligibility and benefits as best we can before you arrive for your child’s dental appointment. Our staff will advise you of the estimated co-payment for your child’s first visit and will complete a written financial arrangement for the treatment needed once your child’s examination has been completed. You will be required to pay your estimated co-payment portion the day that services are provided for your child. Please be reminded that insurance reimbursement is a contract between you and your carrier. In the case that your insurance carrier does not pay within 60 days, our office shall expect payment in full from you. Lastly, our office does not accept responsibility for collection of insurance claims or for negotiating a disputed claim with your insurance company.

Your insurance policy is a contract between you and your insurance company. Our office is not a party in that contract. As a courtesy to our patients, our staff will complete and send all your insurance claims forms. Please be aware that some, and perhaps all, of the services provided may be non-covered services and not considered reasonable and customary under the terms of your insurance policy. Our office has no control over the benefits provided by your employer’s or union’s dental insurance.

Please remember that insurance is a benefit for you and your child. If, during the course of treatment, your benefits change, the financially responsible party is accountable for all charges. We are happy to discuss our charges and how they relate to your particular situation. We realize that temporary financial situations may affect timely payment of your account. If such problems do arise, we encourage you to contact us promptly for assistance in the management of your account.
